Event Ambassador

Student Activities hires responsible and highly motivated students to work in the various areas of its department. Student employees are representatives of the University and must be customer focused and team players. We seek students who exemplify our core values of service, safety, and continuous improvement.


Summary: Event Assistants (EA’s) are students who are employed to assist the Student Activities Office with the running of events in the LaFortune Student Center, Duncan Student Center, Legends of Notre Dame, Washington Hall and Stepan Center. These events may occur at any time during the week. Event Assistants are broken out into teams which are led by Senior Event Assistants. Senior Event Assistants are responsible for working events as well as scheduling Event Assistants to work the events that occur on their teams day.

Qualifications

Responsibilities: All EA’s
Attend all mandatory training days and meetings.
Respond to all communication from Senior Event Assistants and Student Activities Office Staff within 24 hours.
Wear approved polo or shirts to all events you are scheduled to work.
Arrive at the location of your shift at least 15 minutes prior to the start of your shift.
Clock-In for your shift. Any hours not clocked in for will be erased from your time clock.
Check-In with the building manager of the facility.
Setup and test any equipment that will be needed during your shift.
Upon the arrival of the event planners, welcome them and introduce yourself. Remember to also thank them at the end of the event.
Fill out event worksheets located in each building.
Return all equipment used properly back to its original location.
Remove all large trash from the space and dispose of it in the building's dumpster. You may ask for assistance from the renting group as well. (LaFortune and Stepan Events only)
Inform building service staff of any immediate cleaning needs and when events have ended.
Reset spaces to the setup that was in the room upon entry once the event has concluded.
Check-Out with the building manager of the facility (If available)
Clock-Out from your shift. Any hours not clocked out for will be erased from your time clock. (We will provide a list of time clock stations around campus)
Other duties as assigned.

Responsibilities: Senior EA’s (same as above with the following)
Attend weekly Senior Event Assistant meetings.
Post all shifts a minimum of 7 days prior to groups assigned shifts.
Fill out the master shift sheet with EA’s who are assigned to the shift.
Post unfilled shifts to the main group 4 days prior to assigned shifts.
If unable to fulfill shifts, communicate with the supervisor to create a plan.
Work all shifts unfilled by your team, unless given approval from the supervisor.
