Student Employment Policies
Form I-9 Documents from Home
Students planning to work at Notre Dame should be prepared to present the required original, signed, and unexpired documents (e.g., a valid passport OR driver’s license AND a Social Security card) to the Office of Human Resources to complete the Form I-9 within three business days of completing step one of the verification process.
Please note that photocopies and/or facsimiles are not acceptable.
New Student Employee Guide
After confirmation of employment, first-time student employees are encouraged to review the New Student Employee Guide to assist with completing Employment Eligibility Verification (Form I-9), federal and state tax withholding elections, and establishing direct deposit.
Direct Deposit is the method of payment for all University employees, including students. As an hourly employee, you will be paid bi-weekly via direct deposit to your personal bank account.
NOTE: The direct deposit you may have set up within IRISHPAY is separate from the direct deposit that you set up with the Payroll Office to receive your student employment wages.
Employment Eligibility
- Currently enrolled Notre Dame students are eligible to work as student employees. Students enrolled at Saint Mary's, Holy Cross College, and other universities can be hired as temporary employees.
- Eligibility to apply for on-campus and community service employment is based on a student’s enrollment status and eligibility to legally work in the United States.
- If a department has an appropriate remote work opportunity, students who have a domestic residence (i.e., are living in the United States) may work remotely for the campus in Notre Dame, Indiana. However, students who are studying abroad cannot work remotely for the Notre Dame, Indiana, campus while they are abroad.
- Non-U.S. citizens require additional documentation as evidence of work eligibility in the United States. Please contact the Office of Human Resources or International Student and Scholar Affairs (ISSA) for detailed information regarding work authorization requirements.
- Students who terminate their enrollment at the University of Notre Dame for reasons other than graduation may not continue working as student employees effective as of the date of separation from the University. Students may not work as both a student and a staff member at the same time.
Financial Aid Offer
Funding from Campus Employment and Federal Work-Study opportunities must be earned by the student. The amount of employment eligibility indicated in a student's Financial Aid Offer is an estimate of potential earnings and not a guarantee of employment or earnings.
- Campus Employment is a non-need-based form of student employment. Students with Campus Employment are eligible to work on campus.
- Federal Work-Study is a need-based form of student employment subsidized by the federal government. Students with Federal Work-Study are eligible to work on campus (e.g., dining hall and research positions) and also at participating community service agencies.
Student employment eligibility offered to undergraduates on the Financial Aid Offer averages 6 - 7 hours per week based on a possible 30 weeks of work for the academic year (excluding breaks and finals weeks).
- The University allows students to work a maximum of 20 hours per week, and earning potential will vary with hours worked and pay rate.
- During designated University breaks (i.e., spring, fall, and winter breaks), students can work up to 40 hours per week.
- Students are strongly encouraged to verify their work authorization/program work requirements as appropriate.

Hourly Student Pay Rates
The University of Notre Dame seeks to ensure consistent compensation and employment practices for all students working on campus. In an effort to retain, reward, and provide equitable pay to our student employees, we have instituted a new starting pay for all hourly student positions.
The University's starting pay rate for non-tipped hourly student positions is $15.
Setting an Hourly Student Pay Rate
The employing department determines the hourly pay rate for each student based on job responsibilities. Please review the guidelines below to assist in setting an hourly pay rate:
- The range and complexity of the job's duties
- The knowledge and skill requirements necessary to perform the job
- Equity, including wage relationships with other student employees doing similar work across campus
Generally, it is expected that a student’s starting hourly rate will begin at or near the minimum pay with increases based on longevity and performance. However, the following factors may support a higher pay rate:
- Primary role is managing or providing direction to other student employees
- Research/analysis support (requiring graduate course work) in an academic program
- Work that requires advanced computer systems or programming knowledge
- The nature of the work requires advanced foreign language competence
- Market conditions and/or recruitment difficulty
